Google Calendar access

Aldous Calendar Bot uses Google Calendar read-only access for the invited bot account. The service checks calendars to detect upcoming meetings where notetaker@sso.aldous.io has been invited, so the August notetaker can be started for those meetings.

The service does not create, edit or delete calendar events.

Data we process

• Calendar event details needed to identify relevant meetings, such as title, time, attendee information, conference link and event identifiers.
• Account and technical metadata needed to operate, secure and troubleshoot the service.
• Meeting processing status, such as whether a notetaker was started successfully.

How we use data

We use calendar data only to provide and support the notetaker workflow, including detecting eligible meetings, starting the notetaker, preventing duplicate starts, debugging errors and maintaining service security.

We do not sell Google user data. We do not use Google Calendar data for advertising, profiling or unrelated analytics.

Retention

We keep operational records only for as long as reasonably needed to provide the service, troubleshoot issues, maintain security and meet legal obligations. Calendar-derived data is minimised where possible and deleted or anonymised when no longer needed.

Sharing and processors

We may use trusted service providers to host, operate and monitor the service. They process data only on our instructions. We may also disclose data if required by law or to protect the service and its users.

Your choices

You can remove the bot from a meeting invitation to stop it being processed. You can also contact us at hello@aldous.io to ask about access, correction or deletion of personal data associated with the service.
